TechWhirl (TECHWR-L) is a resource for technical writing and technical communications professionals of all experience levels and in all industries to share their experiences and acquire information.
For two decades, technical communicators have turned to TechWhirl to ask and answer questions about the always-changing world of technical communications, such as tools, skills, career paths, methodologies, and emerging industries. The TechWhirl Archives and magazine, created for, by and about technical writers, offer a wealth of knowledge to everyone with an interest in any aspect of technical communications.
We use Visio to annotate screenshots. Until recently, that was Visio 4 and
Word 95. Now we use Visio 2000 and Word 2000. Since then our Word files
containing annotated screenshots are 5-10 times bigger, which makes it more
difficult to process them efficiently.
Our procedure is as follows:
- small PNG screenshots (<30Kb), 256 colors, inserted into Word
(Insert/Picture), no scaling (100%)
- copy/paste screenshot from Word to Visio, no scaling (100%)
- add text annotations in Visio, save Visio file (<150Kb)
- insert Visio into Word (Insert/Object, don't link to file), save Word file
- Word file size jumps to 1000 - 1500 Kb
Has anyone else experienced this behavior? Does anyone have any idea how we
can prevent this increase in file size? Insert/Object with link to file is
not an option because of maintenance and translation issues: we want to
embed the Visio object in the Word file.
We're also interested in other screenshot annotation programs which retain
annotations as editable text, so the annotated screenshots can easily be
translated.
