Hi Robert,
Follow these basic steps:
1. Set up your heading styles for the outline, without any numbering.
2. Click in the top level heading so it is the active style.
3. Click the Home tab in Word and then click the Multilevel list button
(third from left of the list buttons)
4. In the dialog, select "Define new multilevel list".
5. In the form, click the "More" button to expand the display so you can
assign styles.
6. Starting with level 1, setup your numbering scheme and assign the desired
outline style for each level, making sure that the default "Restart after
level n" is checked each time.
When you are done, you should have a numbered outline that works they way
you expect.
There are a few obscure things here:
A. You cannot define the outline numbering from within the style properties
> Numbering and you don't edit the numbering here. This is only used for a
single level numbering such as bullets.
B. You can only use the scheme shown in the multilevel list display for one
set of styles. One style - One number definition. Don't try to use the same
one for another set of styles or it will overwrite your earlier settings.
You have to start a new scheme.
C. You cannot inherit a style as a base for another style that is part of
the outline scheme. If you do it will cause chaos in your styles. You may
find that styles are removed entirely, styles reassigned and many other bad
things that will make you curse the programmers from Redmond for eternity.
D. In the end, it's a black art. If your numbers are working, don't touch
the multilevel list numbering. Leave sleeping dogs. If you have several
numbering schemes in your document, it can be very hard to edit a scheme. To
edit it, you have to click in the top level style in your document and then
go back to the Define new multilevel list button again. If you see a little
representation of your scheme in the display with the correct styles,
everything is golden for you to then choose the Define new multilevel list
command to edit the scheme. For some reason, there is no "Edit multilevel
list" command. If you don't see your scheme, it is possible that it is
showing a variant with stray styles. This happens if you violate point C
above and sometimes it just happens anyway. If so, just clear away the
numbering and start again with a fresh scheme.
