Author is a built-in document property. When you create a new document, Word sets the value to whatever value is in File > Options > General > User Name. After that, I doesn't change the value of the property.
So your authors would need to make sure that setting is correct on their machines. That should do it.
Unless an over-zealous IT department is overwriting that value each session or something.
Once the property is set to the value you want, you can insert it anywhere in the document, as you would any other property field.
