I'm part of a design team that meets weekly (for 1 - 1 1/2 hours) to review
the spec-in-progress and move it closer to a finished spec.
I make handwritten notes on my copy throughout the meeting. I sometimes have
to ask for a clarification (i.e., "so what we've agreed on is..."). If the
discussion starts getting too crazy, someone is handed a marker to start
writing/sketching/etc. on the white board so we can all be sure we're
talking about the same thing.
After the meeting, I incorporate the changes, and circulate the changed
pages to the rest of the team prior to the next meeting. When there are
substantial changes to the document, I give them a new copy. The document
footer includes the revision# and date. There's also a document revision
status box at the beginning of the document, that I update each time I make
changes.
There are 6-8 people at each meeting (besides me). We get through 2-6 pages
of the spec at each meeting - but remember, this is a preliminary spec.
Yours sounds much closer to a finished document that's already had a lot of
review/revision, so your group may be able to move through it faster.
Good luck!

Subject: Reviewiing Process with 12 Engineers at Once
Hi all!
In aprox. 1 hr, I am meeting with 12 engineers in one room to review one
document (34 page Engineering Spec.). They'll be depending upon me to pick a
process for reviewing.
Do you have a preference for reviewing documents in this type of setting
(i.e.,all together in one room)?
