This sounds suspiciously like a scrum!
Agile to the rescue!!
Set up a board with tasks and sticky notes showing who's doing what, what
they're waiting on, etc. Makes the meetings a lot easier and quicker, and
you can make status updates at any time by adding and moving stickynotes so
you always have the latest status at a glance.
Disruptive low tech solutions!!
