I sent out a few manuals to 2 translation agencies and have received
different quotes back from them. One used Trados for its calculations of
There's an 8% difference in word count between the two methods with Trados coming in with the lower count (so a cheaper translation price).
In my experience, a single, authoritative word-counting tool does not exist. Even different version and flavors of Word (e.g., Mac vs. Windows) will return slightly different counts because of the different algorithms that are being used.
The best way around this problem is to stipulate, as part of your RFP to your potential vendors, how words should be counted.
Having said that, Trados is generally preferable because it allows you to benefit from text repetitions and any translation memory (TM) that you may have built up. Where ever possible, you should ask your vendor to run a TM cost/benefit analysis as part of their quote.
